Administrative Assistant for Sales Department Location Ann Arbor, MI :
Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic Sales Department. The ideal candidate will play a crucial role in supporting the sales team by efficiently managing administrative tasks, coordinating communication, and ensuring the smooth flow of day-to-day operations. Essential Duties & Responsibilities: - Schedule and coordinate meetings, appointments, and events for sales team members.
- Ensure timely reminders and follow-ups to help the team stay organized and on track.
- Act as a liaison between the sales team and internal/external stakeholders.
- Manage incoming calls, emails, and inquiries, directing them to the appropriate team members.
- Assist in the creation, editing, and formatting of sales-related documents, presentations, and reports.
- Maintain organized and up-to-date files and records for easy retrieval.
- Coordinate travel logistics for sales team members, including flights, accommodations, and transportation.
- Ensure that travel plans align with the team's schedule and budget.
- Prepare meeting materials, including agendas, presentations, and supporting documents.
- Arrange and set up meeting rooms, ensuring all necessary equipment is available and operational.
- Input and update sales-related data in CRM systems or databases.
- Generate basic reports and assist in data analysis to support decision-making processes.
- Order and maintain office supplies for the sales department.
- Assist in the onboarding process for new sales team members.
- Collaborate with the sales & customer success team to address customer inquiries and provide basic information as needed.
- Ensure a high level of customer service in all interactions.
- All other duties as assigned
Desired Qualifications: - Highschool Diploma or Equivalent required
- Associates degree or higher preferred
- Proven experience as an administrative assistant or in a similar role.
- Excellent organizational and time-management skills.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with CRM systems is a plus.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented and proactive in problem-solving.
