Wine Club Manager

Become the advocate for each member of our wine club!  This position is an essential member of our staff, tasked with building our membership, and ensuring that every member of our wine club feels like they are part of the family.  In this role, you will work with our Tasting Room Manager to create member events, and will partner with our Wine Maker and other members of leadership to identify "wine club" exclusive offerings.   In addition, you will oversee wine club member recruitment, tracking membership administration, setting our wine club member shipment selections and coordinating the shipment of member’s orders. 

KEY RESPONSIBILITIES:

**Member Support & Communication**

  • Act as a point of contact for wine club members, answering questions and/or concerns via phone, email or in-person.

  • Daily oversight and communications for the membership inbox.

  • Draft membership communication for our newsletter, events, etc, and make sure that all guest teams are aware of wine club happenings

  • Maintain membership database, adding new members, and managing changes within existing membership as needed

  • Contact members with declined payments after each club release to update their credit card information.

**Wine Shipment Support**

  • Ensure seamless packaging and preparation of wine shipments.

  • Oversee order administration and shipping accuracy for all wine shipments, including those that require additional information or have been held for clarification..

  • Oversee inventory and track inventory levels for upcoming shipments. Take lead on addressing any concerns in a timely manner.

  • Ensure all club-release wines are on-site and available for pick up within the designated pickup window

  • Arrange and pack orders for third party shipping.

  • Coordinate shipping for past club releases not picked up.

**Event Assistance**

  • Plan “pick up party” and other club member events, and coordinate all logistics for the event (marketing, inventory, guest speaker, or special materials) required to make the event successful.

  • Provide leadership for wine club events, including tastings, parties, and special releases, working closely with event staff to make sure that the event is successful.

  • Provide support for event set-up, including making sure that tasting notes or other materials are available for the event. Assist as needed with registration and check in.

  • Provide support during events, ensuring smooth operations and assisting with guest needs.

**Marketing & Promotion**

  • Assist with creating and distributing marketing materials for the wine club, including flyers, social media posts, and email campaigns.

  • Help maintain the wine club’s website ensuring that it is current. Make and/or coordinate any adjustments as needed.

  • Support the promotion of the club’s benefits, events, and special offers to attract new members and retain current ones.

**Office Administrative Support**

  • Answer winery phones, taking messages and/or addressing inquiries directly.

  • Assist the team as needed with other tasks related to the running of our business.

**Experience**

  • Minimum 2+ years of administrative experience, with winery experience being a plus.

  • College degree or equivalent certifications.

  • Proficiency in Microsoft Office (Word, Excel) and other systems for tracking and reporting of goods and/or services.

**Qualifications**

  • Excellent organizational skills and ability to manage multiple tasks simultaneously.

  • Attention to detail

  • Exceptional communication skills, including oral and written English skills.

  • Ability to prioritize and work independently with set guidelines.

  • A passion for wine and enthusiasm for learning more about different wine varieties, regions, and pairings is beneficial.

  • Ability to work evenings and weekends as necessary

  • Must be 21+ years of age.

**Physical Requirements:**

  • Ability to stand and walk for extended periods.

  • Ability to lift and carry up to 25 pounds.

  • Comfortable working in both indoor and outdoor environments.
