Job Description

Town Clerk – Part-Time (Cromwell, Oklahoma)

Schedule: Monday – Thursday, 9:00 AM – 1:00 PM
Location: Cromwell Town Hall (This is an in-person position)
Hours: 16 hours per week
Compensation: Negotiable based on experience

The Town of Cromwell is seeking a highly motivated, reliable, and friendly individual to serve as the Town Clerk. This part-time, in-person position plays a key role in day-to-day town operations, bookkeeping, billing, and communication with residents and the Town Board.

Primary Responsibilities

Billing & Collections

  • Prepare and mail monthly trash service bills
  • Receive and process in-person payments
  • Ensure all cash payments are receipted and properly recorded
  • Maintain accurate customer accounts and payment histories

Financial Administration

  • Coordinate with the Town Board and Mayor on town financial obligations
  • Prepare and process payments for utilities, insurance, and contracted services
  • Maintain and reconcile town bank accounts
  • Track account balances and prepare monthly Clerk’s Financial Report
  • Assist with biennial audits by gathering requested documents

Payroll & Taxes

  • Process payroll for town employees
  • Calculate and submit payroll tax payments
  • Prepare and file required state and federal tax forms

Town Meetings & Records

  • Attend Town Board / Council meetings.
  • Prepare and post meeting agendas in compliance with the Open Meeting Act
  • Record and maintain meeting minutes, resolutions, and ordinances.
  • Manage required records and retention schedules

General Office & Public Contact

  • Serve as point of contact during business hours
  • Respond to resident questions regarding services, billing, meetings, and town matters
  • Maintain office supplies and coordinate with vendors
  • Perform other duties typical to a small-town clerk role

Qualifications

  • Strong organizational and bookkeeping abilities
  • Ability to work independently with minimal supervision
  • Basic computer skills (email, Word/Excel, basic accounting)
  • Good communication skills and a professional public-facing manner
  • Municipal or office administration experience preferred, but not required
