General Description of the Position Reporting to the Dean of the College of Agriculture, Science & Technology (CAST), and working closely with the Dean's Administrative Assistant and Budget Analyst, the Senior Administrative Assistant performs high level administrative and operational support to university leadership, faculty and staff. Under light administrative supervision, the Senior Administrative Assistant is responsible for complex clerical and administrative duties in all major organizational functions.
Essential Functions & Required Knowledge, Skills and Abilities Essential Functions The following are the functions essential to performing this job:
- Monitor issues dealing with Collective Bargaining deadlines.
- Compose letters, memos and reports for the Dean's review.
- Monitor access to official academic records.
- Resolve inquires of faculty, students and staff.
- Assistant in planning and preparing program for official opening of school each semester.
- Assist the Dean in responding to inquiries from the Provost, Department Chairs, Academic Deans, Executive Directors and other project personnel.
- Assist in coordinating all activities in the Dean's Suite.
- Assist with the coordination of travel arrangements for the Dean to include registration, processing of travel authorizations, reimbursements and relevant travel documents.
- Assist the Dean with activities pertaining to university-wide committees.
- Assist the Fiscal and Budget Assistant with all operations of processing travel expenses and purchase card transactions on CentreSuite.
- Take appropriate action in satisfying inquiries independently while utilizing a variety of resources in acquiring and distributing information daily.
- Responsible for drafting and editing memoranda and general correspondence as well as utilizing microelectronic technologies.
- Assist in the preparation of agendas for meetings, conferences, workshops and disseminates (campus, State and national).
- Perform other related duties as assigned.
Required Knowledge, Skills, and Abilities The individual in this job must possess these skills and abilities or be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation using some other combination of skills and abilities:
- Demonstrated ability to administer oral and written instructions as received from the Dean or an administrator in charge.
- Demonstrated ability to communicate effectively using oral and written skills.
- Demonstrated ability to perform under work-related pressure due to short competing deadlines.
- Ability to analyze and interpret policy, and procedure guidelines to resolve operating problems and questions independently.
Qualification Standards - Education: Associates degree or higher.
- Three years of office administration experience; preferably in a college or university.
- Excellent verbal and written communication skills.
- Computer literate. Proficient in Microsoft Office Suite, database management, spreadsheet applications and word processing.
- Skills in organizing workflow and coordinating activities.
