Position Overview

The Marketing Coordinator will play a key role in developing and producing compelling proposals, qualifications packages, and marketing materials that showcase the firms expertise. This position supports business development efforts across all offices, for a consistent and high-quality brand presence in every submittal. This role also offers opportunities for growth and development within the firm. The ideal candidate is detail-oriented, organized, and able to meet multiple deadlines in a fast-paced, team-oriented environment.

Key Responsibilities

• Prepare proposals, SOQs, and presentations in response to RFQs/RFPs for municipal, county, federal, and private-sector clients.
• Develop, edit, and format content including project descriptions, staff resumes, and supporting materials tailored to client requirements.
• Maintain and update the firms marketing collateral library (resumes, project sheets, boilerplate text, graphics, etc.).
• Work closely with project managers and technical staff to gather input, develop narratives, and ensure accuracy in proposal content.
• Manage proposal production schedules, track deadlines, and support timely delivery of high-quality submittals.
• Support the development of interview materials including PowerPoint presentations, handouts, and graphics.
• Assist with digital marketing initiatives including social media, website content, and e-newsletters.
• Contribute to conference planning and event coordination, including logistics, marketing materials, and booth setup.
• Track opportunities in the firms CRM system and support business development reporting.

Qualifications

• Bachelors degree in Marketing, Communications, English, Business, or related field.
• 24 years of marketing or proposal coordination experience, preferably in the A/E/C industry.
• Excellent writing, editing, and proofreading skills with strong attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Creative Suite (InDesign preferred).
• Strong organizational and time management skills with the ability to prioritize and meet deadlines.
• Ability to work independently and collaboratively across multiple offices.
• Familiarity with Deltek Vantagepoint or other CRM/proposal management systems is a plus.
