Job Description

PRIMARY OBJECTIVE OF POSITION: The Grants Manager is responsible for the management of the grant making process and data that enables the Foundation staff and Board of Directors to make informed grant decisions.

BACKGROUND: The Stewardship Foundation partners with Fiduciary Counselling, Inc. for support staff, including this position. The Stewardship Foundation provides resources to Christ-centered organizations that share their faith in Jesus in word and deed with others throughout the world.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

  1. Responsible for grants administration related to all Stewardship Foundation grant programs
  2. Manages other staff that support the Foundation and oversees all office functions
  3. Coordinates grant cycle processes including application intake, review, processing grant decisions, making award payments, managing reports, and closing out grants
  4. Oversees the use of grant management software in all aspects of the grantmaking process
  5. Ensures legal compliance for all Foundation grants, as well as compliance with IRS regulations and Foundation policies
  6. Serves as main point of contact for all questions on the Foundation’s grant making priorities and procedures
  7. Provides guidance to applicants and grantees on requirements, timelines, and reporting
  8. Provides reports on and analysis of grant decisions, distribution budget and history to staff upon request
  9. Monitors active grants to ensure compliance with grant terms and deadlines
  10. Reviews and analyzes grant reports, following up with grantee as necessary
  11. Manages Annual/Quarterly Distribution Budget Forecast
  12. Trains staff in grant making priorities, policies, procedures and tools as needed.
  13. Involved in the annual review and updating of Foundation governance documents and insurance
  14. Evaluates and updates digital Procedure and Business Continuity Plan
  15. Works in conjunction with FCI relationship to provide information as needed for tax preparation and distribution of grant payments
  16. Interfaces with the Board of Directors, including attending quarterly board meetings, documenting meeting minutes, and implementing board decisions
  17. Participating in special projects and general Foundation operations as needed
  18. Backs up direct-report staff members who support the Foundation

COMPETENCIES:

  1. Competent with word processing, data entry, database management, spreadsheet applications, presentation software, and Foundation-related grant making software
  2. Proficient with Office 365 Suite, Adobe Acrobat Pro DC, and knowledgeable with iPad apps and Dropbox as required
  3. Excellent organization, writing and communications skills
  4. Strong attention to detail and follow-through, including proofreading and editing skills, and presentation of charts and other data graphs
  5. Ability to handle large mailings, reviewing documents to ensure quality control, consistent formatting and overall accuracy of information provided
  6. Internet research and navigation skills
  7. Ability to analyze data, solve problems, think critically, create and make improvements to organizational systems, and perform basic mathematical computations
  8. Ability to understand and follow written and oral directions
  9. Ability to prioritize work effectively and manage multiple deadlines
  10. Ability to communicate (orally and in writing) in a professional manner when dealing with employees, guests, and vendors; strong interpersonal and customer service skills; team player and supportive colleague
  11. Ability to prioritize responsibilities, plan ahead, ask the right questions, anticipate and prevent potential problems
  12. Exercise discretion and professionalism when working with others, including the handling of confidential information
  13. Foster positive, respective, long-term relationships with people inside and outside of the organization

EDUCATION AND EXPERIENCE:

  1. Bachelor degree required
  2. Proven ability to take ownership of an area of responsibility and work independently
  3. Proficient with Microsoft Office 365 Suite including Outlook, Word, Excel, PowerPoint, and One Drive
  4. Experience using online collaboration tools and virtual meeting platforms
  5. Strong analytical, written, verbal and organizational skills
  6. Experience working in a foundation or other position with grants management-related responsibilities is desirable, including a high degree of proficiency with grants management or CRM software applications
  7. Ability to resolve questions and problems effectively
  8. Demonstrated ability to analyze current administrative and grant cycle systems, suggesting improvements to increase their efficiency and effectiveness

ENVIRONMENT AND PHYSICAL DEMANDS:

  1. Sitting, talking at a moderate volume level, hearing, fingering/grasping constantly
  2. Standing, walking, reaching frequently
  3. Bending, stooping, kneeling, and crouching as necessary to facilitate filing
  4. Lifting up to 10 pounds occasionally
  5. Operating audio visual devices and standard office equipment, such as computers, telephones, fax machines, and photocopiers
  6. Typing and entering data on a computer at a speed necessary for successful job performance
  7. Looking at a computer screen regularly
  8. Organizing and sorting correspondence and other documents frequently
  9. Must be able to sit for long periods of time
  10. Quiet, professional, results-oriented office environment
